Purpose of this privacy notice
This privacy notice aims to give you information on how HybrIT collects and processes your personal data through your use of its website (regardless of where you visit it from), the exercise of our contractual functions or when you exercise certain rights under legislation.

The HybrIT website is not intended for children and we do not knowingly collect data relating to children.

It is important that you read this privacy notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements the other notices and is not intended to override them.

About HybrIT
HybrIT is an independently owned IT Managed Services Provider who provides services and functions to its customers as requested. It delivers quality services including consultancy, managed services and hosting services. HybrIT is classed as a “Controller” for the purposes of data it collects for its own purposes.

For the purpose of handling data which may be supplied by you about your customers HybrIT will be considered to be a “Processor” and will process data in accordance with GDPR SCC’s, your wishes and instructions.

In general, HybrIT will never access data provided unless it is essential to do so to fulfil the contractual obligations agreed.
HybrIT is governed by UK law and as such is subject to the UK General Data Protection Regulations 2021 (UK GDPR) and the Data Protection Act 2018 (DPA) as well as other relevant legislation of England.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues. The data we collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

Identity Data includes first name, last name, username or similar identifier, title.

Recruitment Data includes items of personal information such as your name, date of birth, address, qualifications, references and potentially special categories of data such as occupation health data (if provided) and disclosure and barring service self-declaration form details.

Other personal data which does not fall within any of these categories (such as employment status and contract type, criminal convictions and offences or bank details) is held to fulfil our recruitment function. This includes information and correspondence related to recruitment and appraisal, performance and development information for those who have either applied for roles that we advertise, have expressed an interest in applying for these roles or who have been appointed. During investigations we carry out under our functions we may process other personal data from staff HR training records.

How we use your personal data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

Disclosures of your personal data

Data retention
How long will you use my personal data for?
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

Request access

You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

Request restriction of processing
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data’s accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Withdraw consent at any time
Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain services to you for which you may remain financially liable. We will advise you if this is the case at the time you withdraw your consent.

Please note that we don’t require you (whether under statute or contract) to provide personal data and we do not make use of automated decision making in relation to personal data. If this changes, we shall let you know.
Monitoring of Communications
Communications with HybrIT may be recorded and monitored for training and quality purposes. Recordings / Data will only be shared outside of HybrIT with consent or if we are legally obliged to do so and will be automatically deleted after 90 days.
Will this privacy notice be updated?
We may update this Privacy Notice from time to time in response to changing legal, technical or business developments. When we update our Privacy Notice, we will take appropriate measures to inform you, consistent with the significance of the changes we make. We will obtain your consent to any material Privacy Notice changes if and where this is required by applicable data protection laws.
